Hyland Onbase is an Enterprise Level Document Archive/Retrieval/Workflow system.

Hyland Onbase Forms and Workflow is used to automate defined campus business processes. Forms are created to capture the required information in an organized manner. The document can then be routed electronically using OnBase workflow to obtain the necessary campus approvals.

The documents/Forms/workflow can be accessed in multiple ways:

  1. Unity Client (Workstation Client software)
  2. Web Client (using https://imaging.fresnostate.edu)
  3. Forms Application (using https://forms.fresnostate.edu) (Forms Administrator)

Documents are scanned/imported/created into archive, and are assigned indexes so that the documents have identifiers to be searched on: (ie.. first name, last name,emplid). The document types in the system are logically grouped by department. There are several departments on campus that use the Hyland Onbase application. This includes Admissions, Registrar, Financial Aid, Graduate Studies, EOP, Procurement, Accounting, CGE, ISSP).

Development of new or replacement of existing business processes requires working with a Business Analyst to gather requirements for the Form and the workflow process.

There is also a Workflow component to the Hyland Onbase application. This allows Document Routing/Approval capabilities within the system. Each Workflow needs to be configured by Technology Services.
