Resolution: 

The Campus Application Adoption Process establishes a standardized approach for reviewing and adopting campus applications and related technology solutions. The process ensures alignment with institutional priorities, reduces duplication of existing solutions, and addresses requirements for security, accessibility, integration, and operational readiness. 

When to Use This Process:
This process should be initiated when an organizational unit is considering:

  • A new software application or platform

  • A technology purchase or renewal requiring IT review

  • A system that exchanges data with campus systems

  • A solution requiring Single Sign-On (SSO), Authentication, or API integration

  • A technology request requiring central IT support or project coordination

Process Overview:

  • Intake through discovery (Planning and Digital Transformation), procurement (Procure-to-Pay), IT projects (Project Management Office), or integration pathways

  • Preliminary product information review

  • Campus application inventory review to determine if an existing supported solution meets the need

  • Technology readiness review (security, accessibility, architecture, integration, and support)

  • Recommendation and determination of next steps

  • PMO project intake, if implementation requires formal project coordination 

Ownership and Coordination:
The process is owned by Technology Services and coordinated by Planning and Digital Transformation, with advisory input from CA²T (Campus Applications Architecture Team) and collaboration with Procurement, the Project Management Office (PMO), Student Information Systems (SIS/PeopleSoft), Integrations, IT Asset Management, and relevant university stakeholders. For AI-related technologies, consultation also includes Academic Information Technology (AIT) and the AI Services and Technology Innovation Committee. 

Outcome:
This process enables the university to make informed decisions regarding campus technology adoption prior to financial or technical commitments.
